How to Organize Chargeback Evidence Before You Submit a Response

The strongest first move is not writing a long rebuttal. It is building a factual record that lets you see what happened, what supports it, and what is still missing.

1. Capture the dispute details

Record the case number, order number, amount, stated reason, provider deadline and the exact transaction involved. Treat the provider’s deadline as the governing deadline; do not infer one from a screenshot or memory.

2. Build the timeline before the argument

List dated events in order: purchase, confirmation, fulfillment or access, delivery, customer contact, cancellation or refund requests, and the dispute notice. Keep entries factual. A timeline exposes gaps and contradictions early.

3. Gather by evidence category

Separate transaction records, product or service description, customer communications, policies, delivery or access records, refund records and any provider notices. Keep originals intact and work from copies where useful.

4. Match evidence to the claim

Ask what each file establishes. A tracking page may relate to delivery; it does not automatically address a refund claim. A receipt may establish a transaction; it may not establish service performance. Relevance matters more than volume.

5. Use plain, consistent file names

Name copies so they sort logically, for example 01-order-confirmation.pdf or 04-customer-email-2026-09-12.pdf. Avoid renaming originals if that could make later verification harder.

6. Make an evidence index

For every included item, note its filename, date, source and what it is intended to support. This gives you a final review layer before uploading anything.

7. Identify gaps honestly

Mark missing records rather than filling gaps with assumptions. Check whether another source may hold the original record, and review the provider’s current instructions for the stated reason.

8. Write the response last

Once the case facts and index are stable, write a short factual response that points to the records. Review every sentence before submission and remove unrelated personal information.
