Payment Dispute: Your First 15 Minutes
A Free Chargeback Evidence Preparation Checklist for Online Sellers
- Identify the exact case. Record the case number, order number, amount, transaction date, stated reason and provider.
- Protect the deadline. Note the official due date and where it came from. Check the provider portal for current requirements.
- Gather records that already exist. Make copies of order records, communications, policies, delivery or access records and any refund records.
- Identify the stated dispute reason. Do not organize as if it were a different claim; relevance depends on the reason.
- Create a factual timeline. Put dated events in order: purchase, fulfillment or access, delivery, communication, cancellation/refund events and dispute notice.
- Put strongest relevant evidence first. For each file, state what factual point it supports. A large pile of files is not an index.
- Remove unrelated information. Review for records that do not help answer the claim and redact unrelated personal information where appropriate.
- Run a final review. Check transaction match, dates, filenames, evidence index, draft statements and provider instructions before submission.
